IT Support updates

Overdue notices In an effort to standardize the overdue notices, the file names listed in your web directory may change.  At this time collection and overdue file names have been changed to the following new format: library shortname +” –overdues”  or “-collection”. For example, if you had received collections notices named batesville-collection-2012-02-28.pdf it will now show as bplb-collection-2012-02-28.pdf. Likewise, for an overdue notice named batesville-overdue-2012-02-28.pdf it will now display as  bplb-overdue-2012-02-28.pdf. At this time, the EI sys admins are still working to convert 45 day and damaged item notice scripts.

Reports The Executive Committee approved a motion on February 14th which allows EI sys admins to delete broken report templates, from now on.  In the event that EI member libraries find a broken report, please submit a helpdesk ticket and make note of the report template name, and its folder. EI system admins will:

  • Provide notification to the reports list serve that the report will be deleted in 2 weeks from the date of notice.
  • Provide an updated version of the template, if possible, and notify list serve of the location.

Nominating committee for EC

The Nominating Committee for the Evergreen Indiana Executive Committee is soliciting nominations for 4 positions on the Executive Committee to begin on July 1, 2012:

1)    1 rep from Class A library will serve from July 1, 2012 to June 30, 2015.

2)    1 rep from Class B library will serve from July 1, 2012 to June 30, 2015.

3)    2 reps from Class C libraries

  • 1 nominee will serve from July 1, 2012 to June 30, 2013.
  • 1 nominee will serve from July 1, 2012 to June 30, 2015.

If you are eligible and interested in serving on the EC in one of the above capacities, please get in touch with Nick Schenkel (nick@wlaf.lib.in.us) or Krista Ledbetter (kristaq@mail.morg.lib.in.us) by March 16!

Ordering barcodes

Beginning next week, there will be a few changes to the process of ordering item and patron barcodes through Creative DataProducts. The items listed below are the changes that you may notice. You may expect anything that isn’t listed below to stay the same.

1) Orders may only be placed during the weeks listed below. I will continue to send out a reminder to the blog and listserv that item and barcode orders may be placed during those weeks.

3/5/12 – 3/9/12
5/7/12 – 5/11/12
7/2/12 – 7/6/12
9/3/12 – 9/7/12
11/5/12 – 11/9/12
1/7/13 – 1/11/13

2) Price for patron barcodes remains the same ($0.167 per barcode) while the fee for item barcodes will change ($0.01864 per barcode).

3) There is a minimum quantity order of 500 barcodes for both item and patron barcodes.

4) The library will contact Creative DataProducts directly to place their order. Eventually, the vendor hopes to have an online ordering system but currently you will need to contact Cherrie Bishop at Creative DataProducts via email (cbishop@creativedataproducts.com) or telephone (800-951-7234, ext. 1310) with the following information:

  • Item or patron barcodes?
  • Quantity (There is a minimum order of 500 for both item and patron barcodes).
  • Beginning barcode number.
  • Library name, contact email and telephone number.

5) Vendor will send a confirmation email to the library with the library information that should appear on the proof.

6) Library will receive the proof and finalize the order directly with the vendor. Vendor will provide one proof. Any proofs desired after that will cost the library $35.00.

7) The only time sample barcodes are required by the vendor is the initial order.

Evergreen Indiana member libraries may place item or patron barcode orders beginning on Monday, March 5 and ending on Friday, March 9. To place an order, please refer to step 4 above.

Shelbyville Shelby County Public Library

Shelbyville-Shelby County Public Library has been accepted by the Executive Committee as the 99th library in the Evergreen Indiana consortium!

The attached OPAC committee meeting minutes from October 27, 2011 were approved at the OPAC committee meeting on February 23, 2012.
