Weekly Update — April 25, 2017

The tour moves on!

This year, the admin team has committed to visiting all of the Evergreen Indiana libraries to answer questions and get to know you better! Last week we visited Grant County:

“How many children’s dvds did my resident patrons transit in last month?”

The answer to that question and many more is going to be a lot easier to find out in the next few weeks! We’re implementing a required consortium-wide stat cat to target audience when reporting. Libraries are receiving shelving location lists this week to kick off a full conversion of all existing materials. The new stat cat will be required for all new and updated item records beginning on May 15, 2017. Once in place, we’ll release some new report templates that incorporate the new filters!

  • MassLNC Development Survey closes on May 5, 2017
  • Executive and subcommittee ballots are due by May 12, 2017.
  • The 2017 Bylaws amendment votes are due by May 31, 2017.
  • The 2017 Ethics Audit closes on August 1, 2017.

Maintenance News

We’ll be upgrading to Evergreen 2.12 overnight on May 6-7, 2017. The downtime should be minimal and begin after all libraries are closed. No local staff client updates will need to be made. Once completed we’ll be production testing the web client in anticipation of its official release this fall.

Migration News

The New Castle-Henry County Public Library go live is next week on May 3, 2017! There will be a modified cataloging freeze April 29-May 3, 2017 associated with this migration. Area libraries are invited to participate at the go-live! Please let Anna know if you’re planning to attend!

Weekly Update — April 18, 2017

On the road!

This year, the admin team is hitting the road to visit all of the member libraries. We’re touring your buildings, answering questions, and collecting ideas and feedback for current and future projects. We’ll be taking pictures and collecting info to highlight a few things that are unusual or extra special at your library to share with the community! Our first visits took place in late March.

2016 Evergreen International Annual Report

EIAC 2017


We had a great time in Indianapolis at the Annual Conference on March 31, 2017; we welcomed nearly 120 of you to a dozen training program options! Presentations and photos from the event are being gradually added to the Past Conferences page, so be sure to check back over the next couple of weeks for additional content!

Evergreen International Annual Conference 2017


11 EI libraries sent 19 staff to the Evergreen International conference in Covington, KY last week! We presented, networked, and got inspired to try new things! Presentation materials are available for anyone who would like to take a look!

Promotional materials survey

Due to expressed interest in the community, we’re researching options to cooperatively purchase some Evergreen Indiana branded promotional materials. We’re asking that all interested libraries please take a couple of minutes and fill out a survey so that we can see what is of the most interest. Completing the survey will not commit your library to any purchase at this time; it’s simply to gauge interest!

Committee News

The Executive Committee met at the Evergreen Indiana Annual Conference. Several issues were tabled until the June meeting. The 2018 annual meeting was confirmed as an anniversary gala; planning will begin once a budget has been chosen. A global required item stat cat was approved; libraries will be contacted about converting their collections in the next few weeks. This meeting was recorded and may be reviewed on Youtube.

Migration News


We were at Knightstown Public Library last week to help with their recataloging project! Representatives from 5 libraries were on hand to help out. Our thanks to everyone who participated!

The Washington Carnegie Public Library’s go live has been scheduled for Wednesday, March 8, 2017. A modified cataloging freeze on March 6-8 will be associated with this go-live. If you are in the area and would like to attend the go-live, please let Anna know to expect you! A story appeared in the local news about their migration today!

Committee News

The Cataloging Committee will meet on March 2, 2017 at 10am at Plainfield Guilford Township Public Library. All interested staff are invited to attend.

Maintenance: New Shortnames

Just a reminder that we will be updating everyone to the new shortnames tonight, February 28, 2017. We are hopeful these new names will significantly alleviate name confusion transit issues in future.

Maintenance Update: New Shortnames

We will be updating everyone to the new shortnames on February 28, 2017. We have already coordinated with major vendors that use shortnames for authentication, but if you have local contracts which utilize your shortname, you may need to reach out for an update in your configuration. Since these were approved over a year ago, you may wish to review the list and remind yourself of your new shortname. We are hopeful these new names will significantly alleviate name confusion in future.

NOTE: The links for overdue and lost notices are not changing to reflect the new shortnames, please continue to use the current links. An alternate method of accessing those notices is currently in development and should be available soon.

The eContent Committee met on February 14, 2017 at 10 am at the Indiana State Library. We will be renewing our discount program with DEMCO Software (aka Boopsie) and information on JP Gillen’s Library App will be released to the eContent list.

The Executive Committee met on February 14, 2017 at 1pm at the Indiana State Library. The meeting was schedule for the 2017 conference has been released! Detailed program descriptions are available for review. Please note that minor shifts in timing may still occur. Registration is open for the 2017 Evergreen International Annual Conference. 8 Scholarship applicants were awarded scholarships to attend the conference by Evergreen Indiana.

Maintenance and Configuration Updates

A weekly purge of unused monographic parts has been implemented.

Materials which have been assigned the Discard/Weed status are being automatically deleted 6 months after being set to that status. Libraries are encouraged to actively delete weeded holdings, but this cleanup tool will catch those which are missed.

The default sort order has been set to Popularity Adjusted Relevance. The popularity metric has been updated to evaluate the number of copies associated with a record, the total number of holds over 5 years, publication date, frequency of circulation, total circulation, and current hold counts. We’re excited to see how well this assists patrons with finding their desired materials!

Committee News

The eContent Committee will meet on February 14, 2017 at 10 am at the Indiana State Library. Vendor products under discussion will include Baker & Taylor’s Axis 360, J.P. Gillen’s Library App, and SkillSoft.

The Executive Committee will meet on February 14, 2017 at 1pm at the Indiana State Library. Topics on the agenda include the international conference scholarships, the 2018 membership fee rates, an exit fee bylaws amendment, insurance, the current pilots, and updates to the patron matrix. The meeting will be streamed and recorded.

Transiting DVD Pilot

Thanks to everyone who’s completed the initial interest survey so far! We have just shy of 50,000 DVDs committed as of this morning! I am working with our shipping case vendor and should have target dates out to you shortly. The survey will stay open until the end of the month if you need a bit more time to determine if you wish to participate!

Anna is spending today at Knightstown Public Library working on their re-cataloging configuration and kicking off the EI cataloging process. Spiceland’s configuration will be completed within the next week as well. If you are interested in joining us for a cataloging party there in the coming weeks, please let her know!

Do you SRCS?

There’s a lot going on in the resource sharing community this winter! We are soliciting marketing, workflow, and patron training ideas and materials that active SRCS participants would be willing to share as libraries transition to full patron driven requesting for ILLs.

If your library did not join as part of Phase 1, we invite you to consider doing so now! Letters of Interest are due to the Library Development Office before January 31, 2017. If you have questions, you are encouraged to email them to the Support Listserv, the EI coordinator, or the Library Development Office. The SRCS website has training, marketing, and informational resources available for review.

Updates to Staff Permissions Ahead

The Executive Committee approved a range of updates to the permissions assigned to various staff working profiles. A complete list is being released on the Support Listserv. These updates will take place as part of the 2016/17 Upgrade over the New Year weekend.

Open and Unbridled!

Registration is now open for the 2017 Evergreen International Annual Conference. The Executive Committee approved 3 levels of scholarships for interested library staff to attend the conference next spring. Scholarship applications will be available soon. Also, the conference committee is soliciting presentation proposals through January 13, 2016.

Committee News

  • The eContent Committee met at 10 am on Tuesday, December 13, 2016 at the Indiana State Library. Dear Reader presented their product for consortium consideration; pricing will be released to interested libraries on the eContent listserv.
  • The Executive Committee met at 1 pm on Tuesday, December 13, 2016 at the Indiana State Library. The meeting was recorded and may be viewed on YouTube.
  • The Patron Services Committee will meet at 10 am on Tuesday, December 20, 2016 at Greenwood Public Library.

All member libraries are invited to attend the committee meetings and provide feedback on issues under discussion!

Maintenance Notices

During the Authority Control implementation, scheduled December 2-December 28, 2016, catalogers are reminded not to update existing bibliographic records. An FAQ about the process and available functions was released to the Cataloging listserv on 11/28/16. Please watch for updated timeline notices on the listservs.

The next Evergreen software upgrade has been scheduled for December 31, 2016-January 1, 2017. All library access to the database will be suspended during that window. Please check out the Upgrade 2.11 webpage for instructions and training information.
