Weekly Update — December 12, 2017

Committee Meetings

  • The Cataloging Committee met at 10am on December 7 at Hussey-Mayfield Memorial Public Library (ZIONS-HUS).
  • The Executive Committee will meet at 1pm on December 12 at the Indiana State Library (STLIB). The meeting will be streamed and recorded. Topics up for discussion include: Revision of the patron privacy policy to enumerate agencies eligible for disclosures, transit subsidies, the webclient, Executive Committee communications, a new director welcome program, retention of holdings after payment, autodeletion of patrons with outstanding fines, and responsible fiscal agents for the consortium.
  • The Patron Services Committee will meet at 10am on December 19 at Greenwood Public Library (GWOOD).

2017 Evergreen Indiana Tour Update – October 31-November 1, 2017

Nancy Disbro joined us as an Executive Committee representative for our Halloween stops in Dekalb and Huntington counties!

2017 Tour Update

We’re going to be on the road a lot in the next few weeks with visits and migrations, so thank you for your patience if it takes a bit longer to get back to you than usual.

Committee News

The eContent Committee met at the Indiana State Library on October 10, 2017 at 10 am. Among the discussion topics were the implementation of the Advantage Plus program for the eIndiana group and Kanopy (a streaming media vendor). An update will be sent out the eContent listserv.

The Executive Committee met at the Indiana State Library on October 10, 2017 at 1 pm. Items on the agenda include a replacement for the Patron Services Committee, updates to proof of residency requirements, and a revision of the patron privacy policy to enumerate agencies eligible for disclosures. The meeting was broadcast and recorded.

Migration News

On October 19, 2017, Ohio Township Public Library will open their doors as the latest active Evergreen Indiana member! Please note that there will be a modified cataloging freeze in place that week leading up to the go-live. Area libraries are invited to send staff to mentor OHTWP staff that day! Please let me know if you’ll be able to attend.

Pest Procedures Released

After many months of work and revision, the EI pest procedures have been released for libraries to implement. Please review these procedures!

Committee News

The eContent Committee will meet at the Indiana State Library on October 10, 2017 at 10 am. Among the discussion topics will be the implementation of the Advantage Plus program for the eIndiana group and Kanopy (a streaming media vendor).

Support News

The Indiana State Library will be closed on October 9, 2017 in observance of the holiday; INfoExpress shipments will also be suspended for that day.

Weekly Update — August 9, 2017

Committee Report

The eContent Committee met on August 8, 2017 at the State Library. The committee approved a transition to allowing Advantage accounts for the eIDC group using the Advantage Plus program. The policy is being updated with the shared terms of the Advantage Plus configuration and will undergo review as an electronic ballot by the committee. Additional details of the policy, what the program will do, and implementation will be release to the community shortly!

The Executive Committee met on August 8, 2017 at the State Library. The meeting was recorded and may be viewed on Youtube. There were several significant decisions made:

  • The proposed revision to the “equipment” circulation modifier was approved. The community will be notified once the new circ mod is available.
  • The auto-deletion of materials in problematic statuses after 5 years without resolution was approved with implementation on November 15, 2017. Additional information, including report recommendations so you can prepare your collection, will be released to the Support and Cataloging Listservs.
  • The committee voted to retain Montie Manning as a Class C-At large representative for the remainder of his term.
  • The committee selected their support regions for the 2017/18 term. This information can be found on the Communications page under Leadership Contact Lists: List / Interactive Map
  • The committee approved a protocol for disciplinary action for libraries which do not pay their EIPP invoices in a timely fashion. A separate notice of this protocol as well as a direct contact by your regional support person will follow to all member libraries.

Additional discussion without action was held for improving search result sort order, developing a new reports interface, and online registration. These issues will be revisited for action.

Both committees will meet again on October 10. 2017.

  • The Executive Committee will meet at 10am on Tuesday, June 13, 2017, at the Indiana State Library. Subjects under discussion will include the 2018 budget, a possible update to the Circulation Matrix, auto deletion of long lost/missing materials, and welcoming the new committee members.
  • The eContent Committee will meet at 1pm on Tuesday, June 13, 2017 at the Indiana State Library.

Deadlines

  • The 2017 Ethics Audit closes on August 1, 2017.
  • The next barcode/library card purchasing pool is scheduled for July 10-14, 2017. Please check your stocks!

Weekly Update — May 31, 2017

It’s a cataloging celebration!

We were back in Knightstown for another cataloging party on May 19, 2017. For three participants, this was their first ever cataloging party; and we made outstanding progress processing 493 items in one day!

Mark your calendars now to get in on the fun! We will be holding cataloging parties at Walkerton-Lincoln Township Public Library on June 30, 2017 and July 21, 2017, 9am-5pm (EDT); please join us for part or all of the day! Additional sessions will be scheduled at Swayzee and Spiceland soon!

Bylaws Amendment passes consortium vote

The 2017 Bylaws amendment has received a supermajority approval vote. The Bylaws have been updated with the new language (addressing membership eligibility and costs).

New Asynchronous Course Available

EIAC 2017


We had a great time in Indianapolis at the Annual Conference on March 31, 2017; we welcomed nearly 120 of you to a dozen training program options! Presentations and photos from the event are being gradually added to the Past Conferences page, so be sure to check back over the next couple of weeks for additional content!

Evergreen International Annual Conference 2017


11 EI libraries sent 19 staff to the Evergreen International conference in Covington, KY last week! We presented, networked, and got inspired to try new things! Presentation materials are available for anyone who would like to take a look!

Promotional materials survey

Due to expressed interest in the community, we’re researching options to cooperatively purchase some Evergreen Indiana branded promotional materials. We’re asking that all interested libraries please take a couple of minutes and fill out a survey so that we can see what is of the most interest. Completing the survey will not commit your library to any purchase at this time; it’s simply to gauge interest!

Committee News

The Executive Committee met at the Evergreen Indiana Annual Conference. Several issues were tabled until the June meeting. The 2018 annual meeting was confirmed as an anniversary gala; planning will begin once a budget has been chosen. A global required item stat cat was approved; libraries will be contacted about converting their collections in the next few weeks. This meeting was recorded and may be reviewed on Youtube.

We’re off to conference!

The Evergreen conference season has arrived! We look forward to seeing everyone who can make it on Friday at the Evergreen Indiana Annual Conference. Then next week, we’re off to Covington, KY for the Evergreen International Conference. Please note that support may be a bit slower to respond than usual with the reduced on-site staffing.
