Weekly Update — May 9, 2017

Welcome New Castle-Henry County Public Library!

Last week, New Castle-Henry County Public Library went live! NCSTL is our newest Class A member. Located in New Castle, IN, they have a very active bookmobile program. Please share your congratulations!

Please note, due to the upgrade over the weekend, the migration deduplication has not been run yet. That will be completed this week!

Global Stat Cat Update

We’ve updated roughly half of the EI libraries with the new global stat cats. Please continue to ship your spreadsheets so we can convert them ahead of it becoming mandatory for all new and updated items!

Deadlines

  • Executive and subcommittee ballots are due by May 12, 2017. (THIS FRIDAY!)
  • The 2017 Bylaws amendment votes are due by May 31, 2017.
  • The 2017 Ethics Audit closes on August 1, 2017.

Maintenance News

The Evergreen 2.12 upgrade took place over last weekend. There were some issues with server timeouts as a result of the following reingest, but services have stabilized at this time. We will be announcing the testing protocols for the new webclient in the next couple of weeks!

The Indiana State Library will be closed, and INfoExpress deliveries will be suspended on Friday, January 1, 2016 in observance of the New Year’s holiday.

Membership Fee Invoices

The 2016 Membership Fee invoices were released to member library directors via the US Postal Service last week. If you have not received your invoice by the end of next week, please request a replacement copy from the Coordinator.

SRCS: Voting is open!

We are accepting ballots from all members on the decision of whether or not to join the SRCS project as a consortium. Please be sure to research the project, speak with your Executive Committee representative, and ask any questions you may have so that you’re comfortable with your vote. eBallots went out on the Support listserv on December 9, 2015. Physical ballots will be released next week. Completed ballots must be returned to the ISL on or before January 15, 2015 for tabulation.

New shortnames proposed

As you may remember from the Regional Roundtables, we would like to implement an updated set of library shortnames that are more uniquely distinct across the state. The proposed list includes all IN public libraries so that we have fewer chances for complications in future as other libraries consider joining the consortium. Please let Anna know if you have any specific feedback on the name(s) proposed for your library!

Committee News

The eContent Committee met on December 8, 2015 at the Indiana State Library. We hosted a presentation by SkillSoft, approved adding the “On the Shelf” feature to our NoveList configuration, and selected several vendors to pursue for later meetings. The eIDC Advisory Committee reviewed the implementation of and use by Student cardholders in OverDrive to date, discussed the end-of-year spendout status, and reviewed the possibility of formally selecting public domain content to the OverDrive collection. There will be a follow-up on the eContent listserv with terms for a possible SkillSoft purchase.

The Executive Committee met at 1pm on December 8, 2015 at the Indiana State Library. Agenda topics included SRCS participation and BIBFRAME development. A separate recap will be released, and the meeting’s recording may be viewed on: Youtube.

The Patron Services Committee will be meet at 10am on December 15, 2015 at the Greenwood Public Library. On the agenda are the Circulation Manual, the upgrade, the Circulation Matrix, and policies for new adults and fine-free libraries. Don’t forget to fill out this survey to provide us with some input to guide the Circulation Matrix discussion!

Committee meetings are open to the public, and member libraries are encouraged to send staff to contribute to the conversation!

Upgrade News

The consortium will upgrade to Evergreen version 2.9 over the New Years weekend! We are actively testing the 2.9 interface in preparation for the upgrade! Please check out the instructions released to the Support listserv to participate in testing and visit the project page for support and training documents!

Please welcome the newest Evergreen Indiana member library, Starke County Public Library! Starke County’s application was approved by the Executive Committee on December 8, 2015, and they will be migrating to Evergreen Indiana in early 2016.

Maintenance Downtime Notice

The Evergreen Indiana servers will be unavailable for both patrons and staff from 9pm EST December 1, 2015-8am EST December 2, 2015 while maintenance is performed on the network. This will also affect OverDrive and other third party products that require live server access. Please watch the Support listserv for updates on the timeline.

eIDC News

We are soliciting sponsors for the 2016 periodicals platform fee. Thanks to the libraries that have already volunteered! Just as a reminder, if every eIDC member library contributes, it’s only $35 per library. We are opening the sponsorship tiers at $350 for Class A/B libraries and $150 for Class C libraries. If you know that you would like to participate, but cannot commit to the posted tiers with your available budget, please let Anna know the rate at which you would be able to contribute. Last year we began at the tiered levels and were able to discount each tier by 30% once all of the sponsors committed!

2.7 Upgrade Begins Tonight!

Are you ready for 2.7?. The 2.7 upgrade will begin at 8pm EST December 23, 2014. We anticipate the servers will be available again at some point on the 28th. If possible, we will bring things back online earlier. Please be sure to sign up for the Support mailing list to keep apprised of our progress. During this upgrade window, the system will be completely unavailable, and you should use offline mode for any transactions.

For libraries with OverDrive, we have notified OverDrive of the downtime and requested standalone access so that registered users have uninterrupted service.

eIDC Periodicals Now Live

The eIndiana Digital Consortium now offers periodicals for all eligible borrowers. Weekly Update — December 3, 2014

Welcome Royal Center-Boone Township Public Library

Collage
Despite the ice in central Indiana, Royal Center-Boone Township Public Library went live on December 2, 2014. This completed a 16 month automation process and included a weed of more than 5,600 holdings to make the collection more accessible.

De-Dupe Completed in Record Time

The 2014 deduplication project was completed in less than 24 hours over Thanksgiving. Over 180,000 weak or duplicate records were merged into higher quality records. We encourage staff to continue to be vigilant in identifying and merging remaining duplicates.

Wrapping up the 2.7 Testing

We are actively testing the 2.7 version of Evergreen. Thanks to everyone who has contributed so far! If you would like to participate, please check the Support, Cataloging, or Patron Services Resource listserv archives for instructions and recommended testing procedures. We will be accepting feedback through Sunday, December 7, 2014 in preparation for the holiday upgrade.

Weekly Update — November 25, 2014

De-Dupe Downtime for Catalogers

We will begin the 2014 deduplication project tomorrow evening. Beginning at 8pm, November 26, 2014, a full cataloging freeze will be in effect. No changes may be made to item or bibliographic records during a full freeze. Standard circulation functions will not be affected. Catalogers will be notified by Monday, December 1 when they may resume cataloging in the staff client.

Taking 2.7 out for a test drive

We have begun testing the 2.7 version of Evergreen. If you would like to participate, please check the Support, Cataloging, or Patron Services Resource listserv archives for instructions and recommended testing procedures. We will be accepting feedback through Sunday, December 7, 2014 in preparation for the holiday upgrade.

Considerate Outreach

While we are still in the process of developing the formal Evergreen Indiana book club policy, members are reminded that circulation periods for outreach and book clubs that exceed standard policy require the circulating library to seek and receive permission for extended circulation from the owning library for each item borrowed.

Getting in some face time

NE Regional Roundtable 2014
On Thursday, October 2, 2014, more than 30 staff from 17 libraries met in South Whitley, and on Friday, October 3, 2014, the meeting at Greensburg was attended by 25 staff representing 11 libraries. Lively discussions brought many interesting experiences and questions to light! We are delighted to have had the opportunity to hear directly from so many staff and that you were able to join us. A special thanks to South Whitley Community Public Library and Greensburg-Decatur County Contractual Public Library for hosting!

Our systems administrator is on vacation; thank you for your patience if technical issues take a bit longer than usual to address.

We have identified Thanksgiving weekend as our next planned de-duplication and have tentatively set a FULL cataloging freeze for November 27-30, 2014.

Syracuse-Turkey Creek Township Public Library is seeking a new director. The job listing is available on the Indiana Library Jobs page.

Migration News

The North Madison County Public Library migration is scheduled for October 17-21, 2014. A modified cataloging freeze is anticipated during that weekend. Further information will be forthcoming as available.

The Royal Center-Boone Township Public Library’s go-live is scheduled for December 2, 2014. There will be no cataloging freeze associated with this migration.
