Registration Now Open: EIAC 2017

The 2017 Evergreen Indiana Annual Conference will be held on March 31, 2017 at the Fort Benjamin Harrison State Park Garrison. Breakfast and lunch will be served. Please register now (a link to a list of session descriptions is available on the form)!

Maintenance Update: New Shortnames

We will be updating everyone to the new shortnames on February 28, 2017. We have already coordinated with major vendors that use shortnames for authentication, but if you have local contracts which utilize your shortname, you may need to reach out for an update in your configuration. Since these were approved over a year ago, you may wish to review the list and remind yourself of your new shortname. We are hopeful these new names will significantly alleviate name confusion in future.

NOTE: The links for overdue and lost notices are not changing to reflect the new shortnames, please continue to use the current links. An alternate method of accessing those notices is currently in development and should be available soon.

Committee News

The eContent Committee met on February 14, 2017 at 10 am at the Indiana State Library. We will be renewing our discount program with DEMCO Software (aka Boopsie) and information on JP Gillen’s Library App will be released to the eContent list.

The Executive Committee met on February 14, 2017 at 1pm at the Indiana State Library. The meeting was schedule for the 2017 conference has been released! Detailed program descriptions are available for review. Please note that minor shifts in timing may still occur. Registration is open for the 2017 Evergreen International Annual Conference. 8 Scholarship applicants were awarded scholarships to attend the conference by Evergreen Indiana.

Committee News

The Patron Services Committee met at 10am on Tuesday, March 15, 2016 at Mooresville Public Library. This meeting was recorded, and may be viewed on Youtube. Meeting outcomes included approving the updated draft of Chapter 3 of the Circulation Manual, recommendations for updates to the patron and circulation matrices and renewal block limits, and approval of the automated hoopla record integration. The committee will next meet on June 21, 2016, location to be announced.

The Executive Committee will next meet at 10am on Thursday, March 31, 2016 at the Indiana State Library.

Committee meetings are open, and libraries are welcomed to send attendees to provide additional feedback.

Notice of a Vote

The eContent Committee is voting electronically to approve that committee’s newly drafted Rules of Governance. If you have comments, please share them with the committee before March 30, 2016.

Weekly Update — February 16, 2016

New Committee Forming!

We are now soliciting member library staff to serve on the 2017 Evergreen Indiana Annual Conference Committee. This new subcommittee will collaborate with the Coordinator to identify the site, solicit speakers and vendor sponsors, and develop marketing and event materials for distribution. This is a one year commitment (2 years if you are selected as committee chair-elect) with meetings on an as-needed basis. If you’re passionate about holding a great event and would like to participate, please email Anna!

Autovoiding Lost Fees

With the upgrade to Evergreen version 2.9, we have much better controls in place to prevent the creation of unwanted negative patron balances resulting from the return of lost materials. If your library staff are tired of manually forgiving lost and lost processing fees when materials are returned, you may wish to have the autovoiding feature turned on for your library. These settings only affect your holdings, so libraries that prefer to retain the bills for manual review may do so. Changes to your library’s autovoid settings may be requested via a HelpDesk ticket.

Registration Now Open!

The 2016 Evergreen Indiana Annual Conference registration is now open! Please take a few minutes to peruse the schedule, check out our Keynote, and get your registration in early. We’ve got a terrific line-up of presenters and sessions and are going to have another great conference!

2016 Evergreen International Scholarships

The Evergreen Indiana Executive Committee has approved the distribution of $875 scholarships for Evergreen Indiana library staff to attend the 2016 Evergreen International Conference in Raleigh, NC. Applications must be completed in full and returned to the Evergreen Indiana Coordinator by March 11, 2016. Applications will be reviewed by the Executive Committee members, and 4 recipients will be selected. Applicants will be notified of the selection results by March 21, 2016. The eContent Committee met on February 9, 2016 at 10am at the Indiana State Library and hosted presentations for GaleCourses and Learning Bird. The committee will next meet on June 14, 2016.

The committee will next meet on March 31, 2016 at 10am at the Indiana State Library. A detailed recap of the meeting will be released to the Support listserv shortly.

The revised Rules of Governance for the Patron Services Committee are now available for viewing. They will be in full effect beginning April 11, 2016.

New Members!

Please welcome Eckhart Public Library and Garrett Public Library to Evergreen Indiana! Both libraries are located in DeKalb County and anticipate migrating in late summer-early fall 2016.

We still need committee nominees! We particularly need Class C representatives for the Patron Services Committee. The nomination form is available now at: Committee Nomination Form.

You may self nominate or nominate another qualified individual. The nominations are open until February 12, 2016. If insufficient nominations exist for a given class of library, available nominees may be listed on the ballot as at-large representatives for the seat in question.

It’s no joke! The 2016 Annual Conference CFP is now open

The Call for Proposals for presenters at the 2016 Annual Conference is now open. This is your chance to share your fantastic ideas, excellent workflows, and success stories for leveraging the resources of the Evergreen Indiana community, software, and collections. The 2016 conference, scheduled for March 31-April 1, 2016, will be subsidized by the membership fee; space will be limited.

We have set a tentative date of March 31-April 1, 2016 for next year’s conference. Please mark your calendars!

Member News

We are saddened to report that Debbie Keffer, former director of Roachdale-Franklin Township Public Library (RFTPL), passed away on Monday, April 13, 2015, after losing her battle with cancer. (Obituary) Debbie oversaw her library’s automation and migration into Evergreen Indiana in 2009.

Deadlines

The elections have opened for the Executive and Patron Services Committees. We are accepting exclusively electronic ballots for the PSC. For libraries who wish to submit physical ballots for the Executive Committee, they will be mailed to libraries on Monday, April 20, 2015. Please be sure to register your library’s votes before May 25, 2015!

It’s Conference Time!

We’re almost to conference. Attendees are reminded that the Thursday, April 9, meetings and workshop will be held at the Fort Benjamin Harrison Inn. Friday’s (April 10) programs and sessions will be held at the Garrison Conference and Golf Center (sorry, we haven’t allowed for tee time!). Final confirmations will be issued tomorrow. We’re looking forward to seeing you there!

Expiring Age Protection

At the request of the community and under the direction of the Cataloging Committee, we have automated the process of stripping age protection settings from materials that have aged out of age protection. This coincides with applying a fix that bases age protection on an item’s active date rather than create date. We hope this helps relieves any confusion regarding the “age” of items and assists libraries that pace the release of new materials.

Spring Cleaning the Patron Records!

We’re pleased to announce that the scripts are complete to remove the long-expired and inactive patrons from our database. In compliance with Indiana code, we are required to mark inactive and delete long-expired (3+ years) patrons who are in good standing. We have implemented the script to delete these records and libraries will see fewer irrelevant results when searching patrons going forward. Patrons with outstanding bills, open circulations, or bars have been retained until their accounts are cleared.

We have a record of the first batch of patron records to be deleted if you would like to use it to cull your paper records (if the retention period has ended). We have templates in development that will be available very shortly in the Admin folder of the reports interface so that you can track which records are slated for deletion.

One other outcome of this clean-up is that aged circulations (circulation information from which the identifiable patron data has been stripped) are now playing a significant role in how you report some circulation statistics. Circulations on any patron record that is deleted are automatically aged (or anonymized). If you are using a report that includes circulation details spanning more than three years, you should plan on using the “Aged and Active Circulations” source for reporting rather than “Circulations”.

We had several libraries band together and support a group content buy which will extend our periodical platform fee discount for a full second year. Our thanks to Andrews-Dallas Public Library, Barton-Rees Pogue Memorial Public Library, Jackson County Public Library, Noble County Public Library, North Webster Community Public Library, Osgood Public Library, Perry County Public Library, Roanoke Public Library, and Switzerland County Public Library.

Collections Notice Change

As several libraries have noted, the collections notice is frequently issued while the patron is still in the process of actively accruing fines and fees. To reduce confusion over correct account balances, we have decided to try eliminating the itemized portion of that letter. If you find over time that this creates additional issues, please let us know.

Support News

The new circulation modifier for ereaders is now live. Please transfer eligible equipment before March 24th as we will be rolling the long option duration back to 3 days.

Committee News

The Patron Services Committee met on March 17, 2015 at Greenwood Public Library. Top discussion points included preparations for the upcoming elections and conference, updates to the manual, creation of a pest policy outline, and the use of a driver’s license as an alternate for a library card. The committee greatly appreciated the many thoughtful and helpful comments the community submitted as they move forward in evaluating the consortium’s stance on library card substitutes. That conversation will be ongoing as we seek to find a workable balance within the highly polarized responses we’ve received.
