Upgrade 2.11 complete

The upgrade was completed on schedule the evening of January 1, 2017. Reporting was on hold until the 2nd. We have noted a couple of bugs which are affecting bibliographic record merging, transferring holds, and barcode replacement. As patches and fixes are put in place, we will update via listserv. Thanks for your patience!

Holiday Closure

The Indiana State Library will be closed January 14-16, 2017. During that time EI support staff will only be available in case of emergency. INfoExpress service will also be suspended on those dates.

Committee Nominations

It’s that time of year! Are you interested in shaping consortium policy? Do you want to grow your presence in the professional community? Want to make sure your patrons are getting the best service possible? Do you know someone that would amazing at doing that? We are now accepting nominations for committee members. Any active Evergreen Indiana library staff member is eligible to be nominated!

Elected committee members are generally expected to serve 3 year terms (except for the Cataloging Committee which is at-will terms). Committee service entails attendance, either in person or via web conference, at 4-6 meetings annually, plus participating in the conference and roundtables to address community interests and needs through the development of policies, procedures, and trainings.

Nominate someone now!

We have openings on all four committees. Nominations will close on February 3, 2017. Nominees will be confirmed and announced shortly thereafter.

Deadlines

Registration is now open for the 2017 Evergreen International Annual Conference, and the conference committee is soliciting presentation proposals through January 13, 2017. Scholarships are available for interested EI staff; scholarship applications are due by February 6, 2017.

The Patron Services Committee met at Greenwood Public Library on June 21, 2016. The meeting was recorded and may be viewed online.

eIDC News

Due to the overwhelming number of recommendations being received by some eIDC libraries, the eIDC Advisory group has voted that the Recommend to Library feature be limited to 1 request per week per patron. This will be implemented on July 1, 2016.

Migration News

  • The Eckhart Public Library and Garrett Public Library migrations have been scheduled for August 1, 2016.
  • The Orleans Town and Township Public Library migration has been scheduled for August 22, 2016.

Please mark your calendars if you are a neighboring library and wish to send staff! Additional information about cataloging freezes will be released closer to the migrations.

Transit News

Jefferson County Public Library’s Hanover Branch [JFCPLH] will be a separate location for INfoExpress deliveries beginning on July 1, 2016. Please send all transits for that location directly to the branch after that date.

The Indiana State Library will be closed in observance of the Independence Day holiday, and INfoExpress service will be suspended on Monday, July 4, 2016.

Deadlines

The new library card and barcode pool will open on July 5, 2016 and close on July 11, 2016. If you wish to participate in this pool, please contact Anna for pricing and ordering instructions.

The Cat1 Refresher term for 2015/16 closes on June 30, 2016. Catalogers must complete their refresh training in order to avoid an interruption in cataloging permissions. Please see the Cataloging Listserv for more information.

eIDC News

At the recommendation of the eIDC advisory group, eIDC patrons may now borrow up to 10 ebooks, eaudiobooks, and evideos at a time. The limit on periodicals has been increased to 5. Holds limits have been adjusted to match the new circulation limits.

Migration News

Weekly Update — December 10, 2015

SRCS: Voting is open!

We are accepting ballots from all members on the decision of whether or not to join the SRCS project as a consortium. Please be sure to research the project, speak with your Executive Committee representative, and ask any questions you may have so that you’re comfortable with your vote. eBallots went out on the Support listserv on December 9, 2015. Physical ballots will be released next week. Completed ballots must be returned to the ISL on or before January 15, 2015 for tabulation.

New shortnames proposed

As you may remember from the Regional Roundtables, we would like to implement an updated set of library shortnames that are more uniquely distinct across the state. The proposed list includes all IN public libraries so that we have fewer chances for complications in future as other libraries consider joining the consortium. Please let Anna know if you have any specific feedback on the name(s) proposed for your library!

Committee News

The eContent Committee met on December 8, 2015 at the Indiana State Library. We hosted a presentation by SkillSoft, approved adding the “On the Shelf” feature to our NoveList configuration, and selected several vendors to pursue for later meetings. The eIDC Advisory Committee reviewed the implementation of and use by Student cardholders in OverDrive to date, discussed the end-of-year spendout status, and reviewed the possibility of formally selecting public domain content to the OverDrive collection. There will be a follow-up on the eContent listserv with terms for a possible SkillSoft purchase.

The Executive Committee met at 1pm on December 8, 2015 at the Indiana State Library. Agenda topics included SRCS participation and BIBFRAME development. A separate recap will be released, and the meeting’s recording may be viewed on: Youtube.

The Patron Services Committee will be meet at 10am on December 15, 2015 at the Greenwood Public Library. On the agenda are the Circulation Manual, the upgrade, the Circulation Matrix, and policies for new adults and fine-free libraries. Don’t forget to fill out this survey to provide us with some input to guide the Circulation Matrix discussion!

Committee meetings are open to the public, and member libraries are encouraged to send staff to contribute to the conversation!

Upgrade News

The consortium will upgrade to Evergreen version 2.9 over the New Years weekend! We are actively testing the 2.9 interface in preparation for the upgrade! Please check out the instructions released to the Support listserv to participate in testing and visit the project page for support and training documents!

Member News

Please welcome the newest Evergreen Indiana member library, Starke County Public Library! Starke County’s application was approved by the Executive Committee on December 8, 2015, and they will be migrating to Evergreen Indiana in early 2016.

Committee News

The Cataloging Committee will be meeting at 10am on December 3, 2015 at Hussey-Mayfield Memorial Public Library.

The eContent Committee will be meeting at 10am on December 8, 2015 at the Indiana State Library. We will be hosting a presentation by SkillSoft for consideration as a consortium discount purchase.

The Executive Committee will be meeting at 1pm on December 8, 2015 at the Indiana State Library. Agenda topics include SRCS participation, BIBFRAME development, and the membership fee assessment. This meeting will be broadcast and recorded for those who are not able to attend in person (Broadcast).

The Patron Services Committee will be reviewing the Circulation Matrix in response to several requests at this fall’s regional and thematic roundtables at their December 15, 2015 meeting. Please take a couple of minutes and fill out this survey to provide us with some input to guide the discussion.

Maintenance Downtime Notice

The Evergreen Indiana servers will be unavailable for both patrons and staff from 9pm EST December 1, 2015-8am EST December 2, 2015 while maintenance is performed on the network. This will also affect OverDrive and other third party products that require live server access. Please watch the Support listserv for updates on the timeline.

eIDC News

We are soliciting sponsors for the 2016 periodicals platform fee. Thanks to the libraries that have already volunteered! Just as a reminder, if every eIDC member library contributes, it’s only $35 per library. We are opening the sponsorship tiers at $350 for Class A/B libraries and $150 for Class C libraries. If you know that you would like to participate, but cannot commit to the posted tiers with your available budget, please let Anna know the rate at which you would be able to contribute. Last year we began at the tiered levels and were able to discount each tier by 30% once all of the sponsors committed!

Transit bag round-up

INfoExpress Bag
The INfoExpress coordinator is out of transit bags to ship to libraries that are running short! When you’re preparing your next shipment, please send a bag or two of extra bags our way. We’ll clean them and get them back out and transiting in no time!

Long open transits

Thanks to everyone for knocking out the transit list checks! We’ve heard about a lot of materials being found and made available again. We are still working to resolve the issue with the missing HMMPL transits; many thanks for your patience with that process too.

Coming Soon: Updates from the Patron Services Committee

The Patron Services Committee approved a few changes last week that will rolling out shortly. The first is that materials marked with a circulation modifier of “equipment” will no longer be eligible for a grace day. Because of the greater prevalence of back-to-back bookings for these items, it was determined that a more structured fine structure would better reflect our libraries’ needs.

We will also be lifting the bill voiding permission from all accounts except for LocalAdmins. This decision was the result of discussions regarding ownership of bills and the potential for incorrect management of bills between member libraries. We will review the impact over the next few months; libraries should utilize the “Forgive” feature as much as reasonable for dealing with bills which have not been auto-voided and should be removed from their users’ accounts in the meantime.

eIDC Periodicals Pilot News

The eIndiana Digital Content group has been busy over the last year trying several new options with OverDrive. As a thank you for our recent adoption of the new periodicals platform, we received a NOOK. A drawing from the libraries that were the original sponsors of the project determined the NOOK’s new home. Please congratulate Middletown-Fall Creek Township Public Library on their newest ereader! The project itself has gone quite well, with many other libraries contributing content. Since January 1, 2015, we have already circulated more than 6,000 periodicals to patrons at 82 consortium libraries. If your library is part of the eIDC, please be sure to promote this content to your patrons!

Weekly Update — March 24, 2015

Spring Cleaning the Patron Records!

We’re pleased to announce that the scripts are complete to remove the long-expired and inactive patrons from our database. In compliance with Indiana code, we are required to mark inactive and delete long-expired (3+ years) patrons who are in good standing. We have implemented the script to delete these records and libraries will see fewer irrelevant results when searching patrons going forward. Patrons with outstanding bills, open circulations, or bars have been retained until their accounts are cleared.

We have a record of the first batch of patron records to be deleted if you would like to use it to cull your paper records (if the retention period has ended). We have templates in development that will be available very shortly in the Admin folder of the reports interface so that you can track which records are slated for deletion.

One other outcome of this clean-up is that aged circulations (circulation information from which the identifiable patron data has been stripped) are now playing a significant role in how you report some circulation statistics. Circulations on any patron record that is deleted are automatically aged (or anonymized). If you are using a report that includes circulation details spanning more than three years, you should plan on using the “Aged and Active Circulations” source for reporting rather than “Circulations”.

Our thanks to Andrews-Dallas Public Library, Barton-Rees Pogue Memorial Public Library, Jackson County Public Library, Noble County Public Library, North Webster Community Public Library, Osgood Public Library, Perry County Public Library, Roanoke Public Library, and Switzerland County Public Library.

Deadlines

Registration for the 2015 EI Annual Conference will close on March 31, 2015. Please visit the Evergreen Indiana Annual Conference 2015 page now!

Library standards’ waiver letters are due to the Library Development Office by March 30, 2015. Please remember that Evergreen Indiana libraries must be found in-standards or receive a waiver from the ILHB to continue as regular members of the consortium!
