Weekly Update — February 21, 2017

Committee News

The Cataloging Committee will meet on March 2, 2017 at 10am at Plainfield Guilford Township Public Library. All interested staff are invited to attend.

Maintenance: New Shortnames

Just a reminder that we will be updating everyone to the new shortnames on February 28, 2017. Since these were approved over a year ago, you may wish to review the list and remind yourself of your new shortname. We are hopeful these new names will significantly alleviate name confusion transit issues in future.

Migration News

The Washington Carnegie Public Library’s go live has been scheduled for Wednesday, March 8, 2017. The LocalAdmin and Reporting course, being taught onsite on March 7, is being opened up to other area library staff, please see below to register. A modified cataloging freeze on March 6-8 will be associated with this go-live.

A team of catalogers will be on-site at Knightstown Public Library today for a collaborative cataloging session! Watch for progress updates (and maybe photos) next week!

It’s almost Conference Season!

Registration is open for the 2017 Evergreen International Annual Conference. The conference will be held April 5-8, 2017 in Covington, KY.

The 2017 Evergreen Indiana Annual Conference will be held on March 31, 2017 at the Fort Benjamin Harrison State Park Garrison. Breakfast and lunch will be served. Please register now (a link to a list of session descriptions is available on the form)!

Maintenance Update: New Shortnames

We will be updating everyone to the new shortnames on February 28, 2017. We have already coordinated with major vendors that use shortnames for authentication, but if you have local contracts which utilize your shortname, you may need to reach out for an update in your configuration. Since these were approved over a year ago, you may wish to review the list and remind yourself of your new shortname. We are hopeful these new names will significantly alleviate name confusion in future.

NOTE: The links for overdue and lost notices are not changing to reflect the new shortnames, please continue to use the current links. An alternate method of accessing those notices is currently in development and should be available soon.

Committee News

The eContent Committee met on February 14, 2017 at 10 am at the Indiana State Library. We will be renewing our discount program with DEMCO Software (aka Boopsie) and information on JP Gillen’s Library App will be released to the eContent list.

The Executive Committee met on February 14, 2017 at 1pm at the Indiana State Library. The meeting was schedule for the 2017 conference has been released! Detailed program descriptions are available for review. Please note that minor shifts in timing may still occur. Registration is open for the 2017 Evergreen International Annual Conference. 8 Scholarship applicants were awarded scholarships to attend the conference by Evergreen Indiana.

2017 Evergreen International Conference Update

The schedule for the 2017 conference has been released! Detailed program descriptions are available for review. Please note that minor shifts in timing may still occur. Registration is now open for the 2017 Evergreen International Annual Conference. Scholarships are available for interested EI staff; scholarship applications are due by February 6, 2017.

Committee Nominations – Final Call!

We need your help! Thanks to everyone who’s nominated someone or volunteered already, but we have many more seats to fill!

Are you interested in shaping consortium policy? Do you want to grow your presence in the professional community? Want to make sure your patrons are getting the best service possible? Do you know someone that would amazing at doing that? We are now accepting nominations for committee members. Any active Evergreen Indiana library staff member is eligible to be nominated!

We have openings on all four committees. Nominations will close on February 3, 2017. Nominees will be confirmed and announced shortly thereafter.

Invoices are out to all of the 2017 Wowbrary group participants. If you have not received yours yet, please contact Mary Kay Emmrich at Newton County for another copy. Thanks again to Newton County for serving as our clearinghouse for this group purchase!

2016 Regional Roundtables

The 2016 Regional Roundtable series kicked off last week in Culver! 16 representatives from 7 libraries met to discuss upcoming projects, recent implementations, compared experiences, and put in requests for development and training. Thanks so much to Culver-Union Township for hosting!

On September 22, 2016, staff from 5 Evergreen Indiana libraries gathered at the Walkerton-Lincoln Township Public Library to kick off that library’s recataloging project. It was a very productive day, with approximately half of the juvenile fiction collection being completed! (That’s right! We STARTED with the picture books!) Special thanks go out to Andrews-Dallas Township Public Library, Garrett Public Library, the Indiana State Library, and Noble County Public Library for sending staff to participate!

Additional sessions are upcoming for anyone who wanted to join us but was already booked on the 22nd!

The post-migration deduplication has been completed. Over 80K records were affected. Catalogers are reminded that the roll-back term will close on October 23, 2016 for any noted mismerges.

The next Evergreen software upgrade has been scheduled for December 31, 2016-January 1, 2017. All library access to the database will be suspended during that window.

This fall’s roundtable, featuring Monica Boyer (JCPL) and Britta Dorsey (TTPL), will refresh your memory on merging bibliographic records in Evergreen and will explore other parts of the Record Buckets module as well. It will also cover the best ways to transfer your volumes and items, helping to keep your work efficient and your statistics accurate.

Highlights of the meeting included approving several updates to the Procedures Guide, which will be published shortly, updates on the Authority Control implementation, and a postponement of the deduplication process. Committee News

The Executive Committee met on August 9, 2016 at 1pm at the Indiana State Library. This meeting was recorded and may be viewed on Youtube. A recap will be issued the support list shortly. The Executive Committee will meet again on October 11, 2016.

The eContent Committee meeting on August 9, 2016 was cancelled. The next meeting has been tentatively set for October 11, 2016.

Migration News

The Orleans Town and Township Public Library migration has been scheduled for August 22, 2016. Orleans has opened up their on-site training to other area libraries! Please see below for registration links if you’d like to send staff to in-person Basic Circulation and Holds trainings.

Catalogers should note that a modified freeze will be in place beginning at 7am August 19, 2016-8am August 22, 2016. Please watch the listserv for updates to that timeline. During a modified cataloging freeze, staff are welcome to add and modify holdings. Other cataloging activities are suspended.

We are putting together final lists of who may be able to send staff to the migration go-live and first weeks! Please let Anna know if and when you are planning to send staff.

Last Call! In-person Advanced Cataloging Workshop

Monica Boyer will present an in-person Advanced Cataloging workshop on Friday, August 5, 2016 from 9am-4:30pm at Jackson County Public Library in Seymour. This workshop is required for anyone who creates, imports, or edits bibliographic records in Evergreen Indiana. Space is limited; please contact Monica (monica@myjclibrary.org) to register.
